Job summary/Role description

The Subcontract Administration Manager manages the Project Subcontracts Plan, Strategy, Procedure and any actions related.

Duties and responsibilities

  • Instruct Subcontractors on the procedure of Administration (methods for preparation of accounting, evaluation of extra works, interim and final payment certificates, etc.);
  • To manage, together with Site Manager, the correspondence with subcontractor to keep under strict control and to prevent any possible risks;
  • Review, with the support of Subcontract Administration Engineer(s), and comment/approve the Subcontractor's Interim and Final Progress Payment Certificate(s), gets approval signatures from Site Manager and Subcontracts Administration Manager Group Leader and issue to Subcontractors the authorizations for invoicing;
  • Review, with the support of a Subcontract Administration Engineer(s), the accounting (pricing or accounting sheets) submitted by Subcontractors;
  • Assures that extra works, new unit prices, claims, backcharges, liquidated damages and close out of the Subcontracts are performed / processed in accordance with the relevant procedure;
  • Prepare, update and issue regularly the Construction Subcontracts Administration Monthly Report;
  • Prepare, together with Site Manager, Subcontractors claims preliminary assessment and execute or assist, as required, up to claims final settlement;
  • Resolve disputes (if any) with Subcontractors, about Subcontractor's contractual obligations, and participate, as required to the site meetings with Subcontractors;
  • Ensure receipt of copy of all drawings issued for construction to be kept, properly filed, for accounting records purposes in accordance with the relevant procedure;
  • Ensure that all Subcontracts and accounting documents are properly filed and in auditable conditions in accordance with the relevant procedure;
  • At the end of Subcontractor construction activities, prepare together with Site Manager and the Performance Evaluation of all Subcontractors.

Knowledge & Qualifications

  • University Degree or Diploma in relevant discipline or equivalent.

Experience

  • Relevant experience in construction/modernisation of large Petrochemical plants/ EPC projects;
  • Minimum 5 years’ experience in the specific discipline;
  • Similar role covered in last three projects, of comparable size;
  • Experience working on Contractor side

Skills and Abilities

  • Native Spanish speaker;
  • Fluent English;
  • Excellent IT and analytical skills;
  • Attention to detail;
  • Excellent communications skills, team-oriented and interpersonal skills;
  • Self-motivation and direction, with strong bias toward timely performance and problem resolution.
