Job summary/Role description

The position is to be a Secretary for our Office Branch in Istanbul, Turkey.

 

Maire Tecnimont S.p.A. is an Italian group numbering 50 operating companies in the engineering, technology and energy sectors.

 

Provides full supports to the Management, ensuring good carrying out of the daily activities.

 

 

Duties and responsibilities

  • Organizing and scheduling appointments.

  • Ensuring the sending of e-mails, correspondence notes, letters, and faxes.

  • Assisting in the preparation of regular reports.

  • Ordering office supplies and researching new suppliers.

  • Collaborating with managers and senior administrative assistants to fulfil the requests of senior managers.

  • Organizing travel by meeting accommodation and reservation needs when necessary.

  • Management of telephone traffic (Welcoming, answering, forwarding, and informing),

  • Providing support to the Human Resources department (organizing job interviews, creating an interview schedule) Providing support to the purchasing department (Contract control, signature tracking, archiving documents)

  • Welcoming incoming guests and helping them with the necessary guidance/treats.

  • Cargo shipping and tracking.

  • Domestic/international travel organization (Visa, ticket, accommodation, car rental, etc.),

  • Providing support to the accounting department.

  • General control of the office and support to other departments.

 

 

Person Specification

Knowledge & Qualifications

  • University Degree or Diploma in relevant discipline or equivalent

Experience

  • Similar role covered for at least 3 years;

  • Proven past experience on similar industries;

  • Experience working on administration.

Skills and Abilities

  • Native Turkish speaker;

  • Fluent English;

  • Excellent IT and analytical skills;

  • Excellent communications, team-oriented and interpersonal skills;

  • Attention to details;

  • Self-motivation and direction, with a strong bias toward timely performance and problem resolution.
