Job summary /Role description

Carry out management and coordination activities relating to the operation of ongoing projects.

Supporting the Logistics Operators to prepare the shipping documentation and update the related reporting, relating to the projects assigned, in coordination with the Project Procurement team.

Reviewing the shipping documentation.

Interacting with custom and freight forwarders.

 

 

Duties and responsibilities

  • Planning: define, in coordination with the Project Procurement Manager/Coordinator and the manager of the higher Function, the shipping methodologies aimed at guaranteeing the achievement of the objectives established in terms of times and costs, in accordance with the specific contractual conditions of the project and in full compliance with the fiscal and technical aspects defined by the scenario envisaged in the transportation contract;

  • Heavy Lift: with reference to items with dimensional characteristics and weight exceeding the standard, contribute to implement suitable technical solutions for transport from vendor to destination, be it by road, sea, rail, barge, air;

  • Coordination Vendors-Freight Forwarder: verify that the instructions forwarded to the freight forwarders are implemented and executed in accordance with the procedures of the various projects (work requirements, operational shipping procedures/shipping plan);

  • Costs and Reportings: guarantee the periodic (monthly) issuing of shipping reports, as required by the project, using a standardized and unique model for the project, in accordance with the defined procedures;

  • Marine Cargo Insurance: coordinate the management of claims relating to insurance policies, whether stipulated by the company or by customers/partners;

  • Promote Lesson Learnt based on lived experiences;

  • Collaborate with the group dedicated to logistics engineering in defining the optimal scenario and identifying the most effective logistics solutions;

  • Promote team working and the sharing of experiences with colleagues

  • Analyze and contribute to prepare the shipping documentation and arrange for subsequent forwarding to the relevant person competence

  • Contact the Onshore local Suppliers to agree on the activation of the shipment with the forwarder

  • Instruct freight forwarders to proceed with booking of ships/trucks/planes/barges, whenever required

  • Prepare the documentation for the management of claims relating to accidents

  • Provide for the compilation of tax documents, verifying the correctness of the data in the documents issued by other authorities

  • Archive and control of all transport documentation, including customs documents for tax purposes

  • Update and check shipping reports (transportation reports, booking in progress,

  • shipping status report) and send them to the functions involved

  • Check the shipping invoices and enter them into the system whenever required.

Person Specification

Knowledge & Qualifications

  • University Degree or a Diploma in a relevant discipline or equivalent.

Experience

  • Minimum 3-year experience in a similar position;

  • Experience in the Oil & Gas, petrochemical, EPC sectors; main contractor.

Skills and Abilities

  • Native Spanish speaker;

  • Fluent English;

  • Excellent IT and analytical skills;

  • Attention to detail;

  • Excellent communications skills, team-oriented and interpersonal skills;

  • Self-motivation and direction, with strong bias toward timely performance and problem resolution.
