Job Description/Role Summary

A Project Coordinator in oil and gas manages scheduling, resources, and communication. They handle documentation, monitor progress, track budgets, ensure compliance, and assist with risk management. Their role supports the project manager in keeping the project on track and aligned with goals.

Duties and responsibilities

Lead the Project Control Team of assigned construction work package:

  • Responsible as a single project control focal point for assigned construction work package reporting to site project control manager
  • Responsible for planning, scheduling, progress monitoring, reporting & analyzing schedules of assigned construction work package
  • Leadership team building abilities
  • Foster positive links among site construction departments
  • Shall be responsible to lead a team of 5 to 7 planners, schedulers & reporting team
  • Required software skills – Primavera P6, MS office Word, Advanced Excel, Access Power point, MS Teams, MS SharePoint, Power Bi, Acumen Fuse, Monte Carlo Risk, Data management skills
  • Oil & Gas construction experience of 15 to 20 years
  • Participate in various constructability, planning Workshops.
  • Lead Daily, Weekly & Monthly meetings with client and subcontractor for his/her responsible work package
  • Co-ordinate & communicate with entire project control & site team
  • Collect EP deliverables delivery information from Home Office & cascade the same to site team & subcontractors in timely manner
  • Lead & co-ordinate the responsible construction work package project control
  • Prepare and perform any specific report and analysis upon the necessity of the Project and the request of PCM & SM.
  • Responsible to plan, monitor and update Level 3 Construction Schedules by linking & aggregating with Subcontractor Level 4 schedules.
  • Responsible for aggregating actual construction progress from bottom to top levels comparing with baseline schedule and to perform gap analysis suggesting corrective actions if required.
  • Perform, with Project Control Team support, the following Site Control activities:

Project Planning & Scheduling

  • Study & understands the Contract requirements (type, scope of work, responsibility, interfaces, milestones, invoicing scheme, etc.) and disseminate main clauses inside the Project Control Team.
  • Collaborate with SM/PCM in defining the Site Control Plan of the Project and ensure its application through the entire Project life to achieve the Project Targets
  • Understand & follow the project control procedures.
  • Follow the project Work Break down Structure (WBS), Plant Break down Structure (PBS), Construction Work Areas (CWA) .
  • Prepare planning package (Schedule basis memorandum, EPC Lev.3 CWA wise schedule using Primavera, Progress Curves, Manpower Histograms, Equipment histograms, Commodity Curves etc.)
  • Prepare the list of Level 3 construction activities.
  • Link construction activities sequentially with engineering and procurement opening 3D model & layout drawings.
  • Summarize the quantities from Quantity price list (QPL) to Level 3 construction activities according to Construction plant groups (CPG)
  • Compute construction manhours using productivities as per organizational assets.
  • Resource loading in Primavera
  • Ensure Construction work area wise Level 3 schedule implementation of defined project scope and shared with the Site Management Team
  • Analyze the Critical Path Analysis
  • Perform Schedule health checks using Acumen Fuse
  • Organize planning workshop
  • Align & link Level 3 schedule with Subcontractor Level 4 schedule
  • Organize & approve Subcontractor planning packages

Progress Monitoring

  • Define the project progress monitoring system according to organization standards and rules of credit
  • Daily visits to site for progress monitoring
  • Compute & analyze actual C3 progress Vs planned progress
  • Lead & compile all disciplines & construction work areas progress
  • Review the progress with site management & supervisors
  • Align Subcontractor Level 4 progress with contractor Lev.3 progress
  • Verify with construction team & approve subcontractor’s progress
  • follow-up the execution of the remedial/mitigation action, when applicable

Feasibility and work front analysis

  • Link & monitor EP deliverables
  • Feasibility study to feed deliverables (Drawings & Material) to subcontractor
  • Advanced work packages co-ordination between engineering & construction

Co-ordination & Communications

  • Establish link between subcontractors Level 4 schedule & contractor Lev. 3 schedules
  • Apply effective communication skills among different stakeholders as client, site construction teams and subcontractor

Progress Reporting

  • Review Daily, Weekly & Monthly reports
  • Prepare weekly & monthly Project Review Meeting presentations
  • Coordinate and assure project control reporting

Project Risk analysis

  • Participate in Project Risk Management process

Project Change management

  • Participate in managing the change orders and provide all back elements
