Job summary/Role description

The Project Assistant reports to the Site Manager and performs all necessary assistance activities to the project and site team.

Duties and responsibilities

  • Full administrative support;
  • Management of the appointment calendar;
  • Arrange travel reservations of department personnel;
  • Fill out Purchase Requests (PR) and related Sales Entry Sheet (SES)/Good Received (GR) for the purchases on the cost centre of the Department;
  • Archiving documents and keeping the protocol of communication in collaboration with the HO and Site Document Control team;
  • Internal reporting;
  • Registration of internal orders related to site activities;
  • Make daily reports and various logs on related to site manager;
  • Assist Logistic Manager and/or Project and Site Management in:
    • Supervising and coordinating service providers (cleaning, catering, utilities, etc.).
    • Arranging events (inquiries to vendors, activities calendar, inspect locations, organization of supplies as drink, food, promotion material, etc.).
    • Arranging office space distribution with SM, including tracking and coordinating delivery of Site offices furniture
    • Managing the fleet of vehicles (keep track of assignments, driver identification, tracking and arrange car service and maintenance, etc.)
  • Coordinate with HO for delivery of personal computers to be assigned to employees and telephones in coordination with IT Specialist.

  • Suitable education

Experience

  • At least 3 years of experience in similar role

Skills and Abilities

  • Fluent German;
  • Fluent English;
  • Proficient knowledge of the MS Office package
  • Excellent communications and interpersonal skills;
  • Strong interpersonal, team-oriented skills, self-motivation and direction, with strong bias toward timely performance and problem resolution;
  • Attention to detail, strong communications and interpersonal skills.
