Job summary/Role description

The General Services Operator is responsible for maintaining and organizing company records, managing employee records, and additionally handling support tasks such as visa, travel and residence permits, local professional accreditation processing.

 

 

Duties and responsibilities

  • Maintain and organize digital company records, ensuring all documents are up-to-date and accessible

  • Assist with the processing of local professional accreditations for employees

  • Organize and manage calendars, meetings, and travel arrangements for new onboarding

  • Handle iqama renewals, visa processing via Qiwa/Muqeem, and other government-related processes.

  • Ensure candidate visas aligning with Saudi labor regulations and candidate specific criteria.

  • Develop policies and procedures for visa operations aligned with labor law standards and updated laws to meet compliance.

  • Stay updated on Saudization quotas and ensure visa process meet Nitaqat requirements.

  • Analyse recruitment data to optimize and reduce time-to-mobilize.

  • Generate monthly reports on Saudization progress, Visa operations, and compliance status.

  • Assist with employee onboarding/offboarding, including medical insurance, accreditations.

  • Process and renew employee visas, residency permits (iqama), and work permits.

  • Maintain accurate records of employee government documents and update employee data in government portals.

  • Assist employees with government-related processes and family visa applications.

  • Ensure confidentiality and accuracy of all government and visa documentations.

  • Organize and manage travel arrangements for employees, ensuring all tickets are issued through the company's approved travel management systems.

  • Arrange accommodation for employees, ensuring bookings are made through the company's approved travel management system.

  • Arrange transportation options for commutes between home and the airport.

Knowledge & Qualifications

  • Bachelor's degree in human resource management or equivalent.

  • Knowledge of Visa operations and Travel management

Experience

  • Relevant experience in a Visa operations and travel management role for 5 years as minimum.

Skills and Abilities

  • Ability to multitask, prioritize workload, and manage various functions such as , HR, Visa administration, and employee engagement initiatives.

  • Strong verbal and written communication skills.

  • Experience using Microsoft Windows office package, Proficiency working in excel and familiarity with travel management tool.

  • Ability to handle employee relations issues, resolve conflicts, and maintain a positive working environment while adhering to cultural norms and practices in Saudi Arabia.

  • Strong interpersonal, team-oriented skills, self-motivation, and direction, with strong bias toward timely performance and problem resolution.
